What should you demand before machines leave a Gongyi partner plant? A clear packing method, ISPM-15 / moisture / marking answers, a packing list that matches the crates, and a dated photo (or short video) pack of the unit, packing, bracing, and container seal—agreed before balance payment and load-out. Gongyi Machinery coordinates packing evidence with partner plants; we are a sourcing partner, not the manufacturer and not “our packing workshop.” WhatsApp +86 18695901333 · WeChat 13213181166.

Who needs this checklist

Use this page if you are:

It complements—not replaces—machine test and document QC. For test-run / balance-payment inspection, see Pre-shipment inspection checklist. For plant visits and witness lists, see Factory visit & QC checklist.

Photo checklist before machines leave the yard

Ask your sourcing coordinator to collect (or help schedule) these shots before the truck/container leaves. Adapt to equipment type; keep filenames dated.

  1. Whole-machine exterior — multiple sides; show paint/finish and obvious damage if any
  2. Nameplate — model / serial / power data readable; match PO
  3. Critical assemblies — feed opening, rotor/shaft ends, hydraulic units, control panel doors (as applicable)
  4. Spare / wear parts — boxed sets with labels; count against packing list
  5. Export packing — wooden case / steel frame / stretch wrap / VCI or desiccant if used
  6. Lifting & COG marks — sling points, “this way up,” center-of-gravity marks where agreed
  7. In-container / on-truck bracing — timber/steel chocks, lashing, anti-shift measures
  8. Container ID & seal — container number + seal number in the same frame when possible; share with you the day of loading
Shot Why it matters Required?
Exterior set Baseline condition vs arrival claims Yes
Nameplate PO / customs / spare-parts identity Yes
Packing materials Proves agreed method was used Yes
Bracing in container Reduces “shifted in transit” disputes Yes (when containerized)
Seal + container no. Chain of custody for FOB/FCA-style handoffs Yes (when containerized)
Short loading clip Optional; strong for high-ticket lines Recommended

Tip: One wide shot of the sealed doors plus one close-up of the seal stamp beats a dozen unsorted phone photos with no date.

Packing & marking questions to ask (process only)

Do not treat these as a freight quote. Ask them early so the partner plant and forwarder align:

  1. ISPM-15 / IPPC — Will wood packaging be heat-treated / marked? Who issues the fumigation or HT evidence if your destination requires it?
  2. Moisture protection — Desiccant, VCI film, oiling of machined faces, rain cover for open-top / flat-rack moves?
  3. Case vs skid vs “naked” — Will oversized crushers ship on steel skids / frames rather than full boxes? Who approves the method in writing?
  4. Fragile / electrics — Control cabinets, instruments, belts, screens—separate crates with packing-list lines?
  5. Marks — Shipping marks, PO / case numbers, weight, COG, fragile icons matching the packing list
  6. Loading plan — Agreed before the container arrives; who is on site for photos / video?

Category hints (keep light):

Documents buyers should collect from the sourcing partner

Before you release balance / approve sail:

  1. Packing list — case/skid IDs, net/gross weights, dimensions, and line items that match photos
  2. Photo (and optional video) pack — the checklist above, dated, shared in one folder
  3. Pre-shipment packing confirmation — short signed note from the plant/coordinator that packing method and loading plan match what you agreed (not a customs “guarantee”)
  4. As applicable — ISPM-15 / fumigation evidence, commercial invoice aligned to packing list, B/L draft fields (consignee / notify / POD)

Certificate-of-origin and destination-scheme papers belong in the broader import thread (Importing from China; GCC readers may also skim …to UAE or …to Saudi Arabia).

How we coordinate (sourcing role)

Gongyi Machinery helps you:

We do not operate our own manufacturing or packing workshop, and we do not sell “factory-direct from our plant.” Ask for a Request a sourcing proposal / coordinated packing plan—not a “factory packing quote.”

FAQ

Can you arrange a video of container loading?

Yes—say so early. Many buyers accept a short clip of bracing and seal application plus the still-photo pack. Scope is per agreement, not an unlimited free add-on on every RFQ.

Do you guarantee customs clearance?

No. We help coordinate documents and packing evidence. Clearance depends on your broker, HS classification, and destination rules. See Importing from China.

Who pays if packing must be redone?

Spell it in the contract / quote notes. Typical pattern: plant/coordinator fixes packing that fails the agreed method before sail; damage after risk transfer follows Incoterms—not a verbal promise on a blog page.

When should I hire a third-party packing inspector?

High ticket, lender/insurance needs, first order with a new plant, or when you cannot travel. Combine with machine FAT only if the quote says so (Factory visit & QC).

Who arranges ISPM-15 / fumigation evidence?

Usually the packing party at origin—confirm in writing who books it and who sends the certificate or HT mark photos. Do not assume every destination needs chemical fumigation.

How is this different from the pre-shipment inspection page?

Inspection = machine test, condition, and commercial/doc checks. This page = packing method, marks, photo/loading evidence, and packing-list discipline. Use both.
